Step-by-Step Setup Process
Create Your Sheet
Open Google Sheets or Excel. Create a new blank spreadsheet. Name it clearly. For example: 'Superbuy Orders - June 2026'.
Set Up Your Columns
Row 1 is your header. Add these columns: A=Item Name, B=Product Link, C=Supplier, D=Unit Price, E=Quantity, F=Shipping Cost, G=Total Cost, H=Tracking Number, I=Status, J=Notes.
Make Headers Stand Out
Select row 1. Make it bold. Change the background color to a light gray or your brand color. Freeze the first row so it stays visible as you scroll.
Add Your First Product
Go to row 2. Type the item name. Paste the product link into column B. Add the supplier name. Enter the price in the currency you paid with.
Add the Total Cost Formula
In column G (Total Cost), enter this formula: =D2*E2+F2. This multiplies unit price by quantity and adds shipping. Copy the formula down for all future rows.
Create a Status Dropdown
Select column I. Go to Data > Data Validation. Choose List of items. Enter these values separated by commas: Pending, Ordered, Shipped, In Transit, Delivered, Cancelled.
Add Conditional Formatting
Select the status column. Go to Format > Conditional Formatting. Add rules: Delivered = green, Shipped = yellow, Pending = orange, Cancelled = red.
Save and Test
Save your file. Add one more row to test the formula and dropdown. Make sure the total cost calculates correctly.
